Reschedule, change the date, or copy an order
When you want to move an order to a new date, OptimoRoute provides three options to do this. Use the option that matches the order status and the result you need.
| Option | Use it when | What happens |
|---|---|---|
| Reschedule orders | The order has a Failed, Rejected, or Cancelled status | OptimoRoute creates a new order on the selected date. A record remains on the original date, and the new order keeps details such as notes in the "Scheduling history". |
| Change the date | The order has a Scheduled or Unscheduled status | OptimoRoute moves the existing order to a new date. It does not keep a separate copy on the original date. |
| Copy orders | You need the same order on more than one date | OptimoRoute keeps the original order and creates a separate copy on the selected date. |
Rescheduling orders
Rescheduling an order keeps its history and helps preserve accurate route analytics. You can reschedule orders with a Failed, Rejected, or Cancelled status.
To reschedule an order:
- Go to the "Plan and Optimize" tab
- Select the orders you want to reschedule
- Click "Reschedule orders"
- Choose the date you want to reschedule the orders on
- Optionally assign a driver to the orders
- Click "Reschedule"
Now these orders will be rescheduled to the new date. A copy will remain on the original date, and the new order will have all the characteristics of the original order including notes. Each order will also have a "Scheduling history" where you can see how many times an order has been rescheduled.
| You cannot reschedule orders that have already been rescheduled or those who have a "Completed", "Scheduled", or "Unscheduled" order status. |
Changing the date on scheduled and unscheduled orders
For orders with a Scheduled or Unscheduled status, change the order date instead of rescheduling the order. Changing the date moves the order to a new day so it can be assigned to a future route.
- Go to the "Plan and Optimize" tab
- Select the orders you want to change the date for
- Click "Edit orders"
- Choose the new date you want to move them to
- Click "Save"
Now those orders will be moved to the new date.
Copying orders
You can also copy orders to a new date. This keeps a separate record of the order on both dates.
To do this:
- Go to the "Plan and Optimize" tab
- Select the orders you want to change the date for
- Click "Copy orders"
- Select a new date
- Click "Copy orders"
Now a copy of that order will be made on the new date.
Viewing the scheduling history
Each order that has been explicitly rescheduled will have a "Scheduling history" where you can see all the times an order has been rescheduled and by who.
To view the scheduling history:
- Go to the "Plan and Optimize" tab
- Open an order that has been rescheduled
- Find and click "Scheduling history" on the left menu
Now you will see an overview of the times that order has been rescheduled including:
- The order ID
- The date it is/was scheduled to be completed
- The order status
- The assigned driver
- Who rescheduled the order
- The date and time the rescheduling of the order was performed
Identifying rescheduled orders
After you use the "Reschedule" option on an order, you can view its rescheduling details in the order window and order table.
Order window
Orders that have been rescheduled will have information available in the order window that lets you know they have been rescheduled or are the result of a rescheduling.
- A message at the top of the order
- The "Scheduling history" section becomes available
Order table
In the order table, there are columns that identify whether an order has been rescheduled and when they were rescheduled to. These columns are:
- Rescheduled order from (Date)
- Rescheduled order to (Date)
