Add and manage vehicles

Vehicles can be added to OptimoRoute and assigned to drivers. This article explains how to view, add, edit, export, and remove vehicles.

What is a vehicle?

A vehicle in OptimoRoute represents a truck, van, car, or other vehicle that can be assigned to a driver. Adding vehicles gives you more control over how routes are planned.

Vehicles help OptimoRoute plan routes based on:

• Vehicle requirements — Match orders with vehicles that have the right equipment, such as refrigeration.
• Vehicle capacities — Set limits for weight, volume, boxes, pallets, and other capacity units.
• Vehicle routing profiles — Apply routing settings for different vehicle types, such as large vehicle restrictions or avoiding tolls.

Vehicle directory

Use the vehicle directory to view and manage your vehicles. From here, you can review vehicle details and edit vehicle settings.

You can sort the directory by any column. Select a column title, then use the arrow to change the sort order.

Adding vehicles

You can add vehicles in three ways: from the vehicle directory, in bulk, or by importing a spreadsheet.

Add a vehicle from the directory

To add one vehicle:

1. Select "Add Vehicle" at the top of the table.
2. Enter the required "Name".
3. Add any other vehicle information.
4. Select "Save".

Add vehicles in bulk by copy and paste

You can add multiple vehicles by copying and pasting a list of license plate numbers or serial numbers.

To add vehicles in bulk:

1. Select "Import vehicles" at the top of the table.
2. Copy and paste the list into the field provided.
3. Select "Import".

Import vehicles

You can also add multiple vehicles by uploading a spreadsheet.

To import vehicles:

1. Select "Import vehicles" at the top of the table.
2. Upload a spreadsheet with the license plate numbers and any other vehicle information.
3. Select "Import".

You can download our sample excel file as a template. The only required field is the license plate number. 

Editing vehicles

Editing vehicles allows you to enrich the vehicle profiles. You can edit vehicles individually or in bulk.

Edit one vehicle

To edit a vehicle:

1. Double-click the vehicle you want to edit.
2. Update the information.
3. Select "Save".

Edit multiple vehicles

To edit several vehicles at once:

1. Select the vehicles you want to edit.
2. Select "Edit vehicles".
3. Update the information.
4. Select "Save".

Changes made in bulk overwrite existing information for the selected vehicles.

Assigning vehicles to drivers

A vehicle must be assigned to a driver for OptimoRoute to use its settings when planning routes.

To assign a vehicle:

1. Go to "Administration → Drivers".
2. Select the driver.
3. In "Details", find "Default vehicle".
4. Select the vehicle from the dropdown.
5. Select "Save".

Exporting vehicles

You can export vehicle information to an Excel file.

To export vehicles:

1. Select "Export vehicles" at the top of the table.
2. Choose the data columns you want to include.
3. Select "Export".

OptimoRoute creates an Excel file with the selected data and downloads it automatically.

Deleting vehicles

To delete vehicles:

1. Select the vehicle(s) you want to delete
2. Click “Delete vehicles” at the top of the table
3. Confirm the deletion by clicking “Delete”

This action is permanent and cannot be undone.
